Event Policies

The following facility use policies, terms and conditions are to be obeyed along with all Federal, Provincial and local bylaws.

A 50% Non-refundable deposit is required at the time of booking. The remaining 50% is due 60 days before the event. Sufficient credit card limits must be available for a security authorization up to $2500.

Set-up and use of the event area can begin no earlier than 1 day before the event unless by prior arrangement. Guests may check-in after 4pm. Check out is at 11am unless otherwise specified.

Weekend events must end by 11pm with any music turned down by 10pm. Sunday through Thursday events must end by 10:00 pm.

Parking on the property is limited. Car pooling or shuttle services are highly encouraged. Cars for officiant, wedding party, caterers, photographers, or musicians have priority near the event area. Special access arrangements can be made for elderly or disabled persons.

Additional chair/table/event tent rental including set-up and take-down as well as the photographer, dj, musician(s), officiant, and any other service arrangements are the responsibility of the client.

Rearrangements of Pointhouse furniture must be discussed in advance with arrangements for protection or storage during the event agreed upon. All indoor and outdoor furniture should be returned to it’s original location at the conclusion of your event.

The garden is to be left clean and undisturbed. Helium balloons, confetti, rice, or birdseed that are detrimental to wildlife are not permitted. Bubbles/flower petals are welcome .

Glassware, plates, cutlery, and service items if utilized should be cleaned, sanitized, and  for future events. Rental dishes are recommended.

The Sunshine Coast has had several drought years and fire-hazards may be high. Flammable devices (candles, torches, etc) that pose a potential danger to guests or risk of fire  are not permitted.

Outdoor ceremonies and wedding photo shoots are held rain or shine. Back-up provisions such as tents or umbrellas are the responsibility of the client. A 10 x 10 canopy tent and 3 triangular sail shades are available to rent if desired. They must be properly erected and staked to avoid damage.

Smoking is only permitted in designated outside areas and at the beach. Please have your MC include these provisions in housekeeping notes to guests.

Photographic props and equipment are the responsibility of the photographer and the client. Take care when accessing fragile planted areas for photographs.

Soft music is acceptable, (e.g.violin, harp, flute, guitar). Levels for amplified music must be pre-approved in respect of neighbours and cease by 10pm.  The Pointhouse reserves the right to restrain or end the music if complaints are received. All live or recorded entertainment is subject to SOCAN (Society of Composers, Authors and Music Publishers of Canada) charge which is included in the function price.

You are welcome to bring in any food or beverages for the event or a catering service. Caterers will have access to the main kitchen or outdoor kitchen and rental rooms for set-up two hours prior to the event.  All catered food should be prepared off-site other than BBQ items. There is limited refrigerator space for holding perishables. Kitchens, both indoor and outdoor, if used, should be returned to their pre-event condition.

Special event licenses for a cash bar are the responsibility of the renter. The Pointhouse shall not be held liable for any injuries suffered as a result of intoxication or impaired driving of renters or guests.

Unlimited local calls are permitted. Long distance calls must be made through a calling card, collect-calls or billed to a third party. Cell phone coverage can be variable.

Hot tubs are exclusively for guests staying on the property only not visitors or party guests.

Natural hazards exist on the property. Guests must exercise caution and assume all risks. Children and pets must be supervised at all times. Owners shall not be held responsible for death or injuries to any guests or pets. Sunshine Coast Nannies offers child & elder care if needed.

Orientation and execution of a separate liability waiver is required for use of the dock and/or float. Not to be used during events without supervision.

Owners are also not responsible for damages to or loss of any article left at the property prior to, during or following any function by the customer, hired vendors or his/her guests.

Cured firewood is for use in the Aerie/Annex fireplaces only. Permissions for beach fires are dependent on fire hazard conditions. Gas fire pits must be completely turned off after use.

We encourage green events. Please see our sustainability efforts. Recyclables can be collected in blue bins provided. Habitat for Humanity would be pleased to accept your bottle donations to support their non-profit work.

No garbage or recycling is to be left inside or outside the building, except in the appropriate secured containers. Rural trash pickup includes only two cans for the whole property weekly. Failure to clean up or remove excess garbage when leaving may attract unwelcome visitors and will result in additional cleaning fees assessed against the security authorization.

A Facility Rental Information for Events form must be filled out and 30 days before the event.
